Pre-Audit System Diagnostics : Aligning ERP Mappings with OpenPeppol Updates

Pre-audit system diagnostics compare an enterprise accounts-payable ledger with e-invoicing gateway logs and test existing ERP ingestion mappings against current OpenPeppol and Schematron rules. Fintom8 Mapping Auditor runs that check offline on two historical file exports and returns a mismatch report with criticality scores and code-level mapping suggestions. The diagnostic does not file taxes, edit booked invoices, or connect to a live ERP.

  • ✓ERP ingestion mappings for Peppol UBL, ZUGFeRD, XRechnung, and national gateways break when OpenPeppol or Schematron mandatory fields change.
  • ✓Fintom8 Mapping Auditor reconciles an offline ERP ledger export with service-provider XML logs and scores the mapping lines that need a code change.
  • ✓The scan stays a data diagnostic: Fintom8 does not assume VAT liability, and the live Corrector is a later step after the report is reviewed.

Pre-audit system diagnostics show IT teams which existing ERP e-invoice mappings will fail the next standards update, and which booked invoices never matched a government or service-provider clearance record. Fintom8 Mapping Auditor (also called the System Auditor and the Inbound Auditor) performs that check as an offline, file-based health scan. The client provides two historical exports. Fintom8 returns mapping diagnostics, criticality scores, and suggested mapping updates.

Why ERP Mappings Drift After a Standards Update

Inbound ERP mapping translates external e-invoice payloads into the internal schema of SAP, NetSuite, Microsoft Dynamics, or a similar system. Those payloads arrive as Peppol UBL, ZUGFeRD, XRechnung, or country-specific gateway files such as France’s PPF and Poland’s KSeF.

A mapping is a fixed translation. OpenPeppol releases, including PINT, and national Schematron files change required business terms, tax categories, and identifier rules. When a mandatory field moves, the existing mapping still emits the old structure. The ERP or the access point then rejects the batch.

Typical breaks:

  • A new or renamed business term in Peppol BIS Billing or a national CIUS.
  • Tax category codes that no longer match the recipient’s internal tax keys.
  • Hybrid ZUGFeRD files whose visual PDF totals and embedded XML diverge, so the mapping books one amount and the auditor sees another.
  • Rounding at two versus four decimal places that fails a Schematron total assertion.

Service providers and Peppol access points validate and reject. They do not rewrite the enterprise mapping, because editing tax-relevant XML would place the liability for that document on the network.

What the Offline Scan Ingests

The Mapping Auditor does not attach to a live ERP on the first engagement. Finance or IT exports two static datasets:

  1. The booked accounts-payable ledger (supplier invoice number, amounts, tax, supplier identifiers).
  2. The XML transaction logs from the e-invoicing service provider or the tax-authority portal.

Fintom8 compares those files inside a secure SaaS API or an encrypted Docker container. Invoice data can stay inside the client perimeter when the container option is used.

Reconciling Invoice Numbers and Clearance Hashes

The two exports often lack a shared key. The ERP books the supplier’s invoice number. A clearance regime such as KSeF or the French PPF registers a generated transaction identifier. Intermediate portals drop the explicit link between those identifiers.

Exact string matching then fails for a second reason: semantic mutation. Rounding, truncated line items, and tax-code translation between the supplier schema and the ERP schema make the same economic invoice look different in each file.

The auditor reconstructs the missing lineage from non-key fields: payment terms, net and gross amounts, and supplier metadata. The deliverable is a mismatch report with two lists that tax and IT can act on before an external audit:

  • Bookings in the ERP that have no matching cleared transaction.
  • Cleared transactions that were never booked.

That report is a data diagnostic. Fintom8 does not file the VAT return and does not post corrections into the ledger.

Mapping Diagnostics and Criticality Scores

Beside the ledger-to-gateway reconciliation, the auditor evaluates current mapping logic against the latest OpenPeppol and Schematron assertions. Each suggested change carries a criticality score so implementation teams can sequence work:

Output What IT receives
Mapping diagnostic Which ingestion fields no longer satisfy the current rule set.
Criticality score Which breaks will reject a batch immediately, and which are lower urgency.
Update suggestion A code-level indication of the mapping change required to accept the new schema.

A healthcare supply-chain proof of concept used this audit path to resolve automated mapping checks before a production rollout.

Where the Auditor Sits Relative to Validation and Repair

Layer Role
Peppol access point or service provider Validates XML and rejects non-compliant files. Does not edit payloads.
Fintom8 Mapping Auditor Offline diagnostic. Compares historical exports and existing mappings with current rules.
Fintom8 Corrector Later, optional step. Repairs repeating errors before ERP ingestion, using master data, purchase orders, and goods receipts that only exist inside the enterprise.

The recommended sequence is diagnostic first, live repair second. The health check exposes the exception causes. The Corrector is introduced only after that evidence exists, and it remains on the client side of the firewall.

ERP system integrators can run the same diagnostic during a migration or upgrade, when inbound mappings are rewritten and a standards update would otherwise surface only after go-live.
